SubjectPal helps children learn from their own school books with an AI tutor. This page explains, in plain words, what we keep and why. Questions or requests: info@subjectpal.com.
Who the account belongs to
A parent or carer creates the account and adds children to it. Children don't have their own accounts or email addresses. Please only add children you are responsible for.
What we store
- Your account: email address, a scrambled (hashed) version of your password, your plan, and whether you're a school or homeschooling family (if you told us).
- Children: the name or nickname you choose and a picture (avatar) from our list. We don't ask for age, school, photos or birthdays.
- Books: the PDF files you upload and the lessons, questions and page pictures made from them.
- Learning: lesson progress, answers, history and time spent, so your child can continue and you can see the progress.
- Usage totals: per day, how many book pages were prepared and the estimated AI cost, to apply the plan limits. Not a record of every action.
- Free guide: if you ask for it, your email address, your consent and which tip emails were sent.
- Invitations: if you sign up with another family's invite link, we note which family invited you, so both of you can get your free month. We tell the inviting family only that “a family you invited” joined.
- Feedback: if you answer our “would you recommend us?” email, your score and comment — and, only if you tick the box, permission to show your words on our website with the name you choose.
- Visitor survey: if you choose to answer the short survey on our pages, your answers and the date — nothing that identifies you.
- Waitlist: if you join it, your email address, your consent, school or homeschool, and any answers you chose to give (child's age, the two price questions, what you use now). We use them only to plan SubjectPal and to email you about your place.
Spoken answers are turned into text. We keep the text as part of the lesson, not the recording.
Why we use it
Only to run SubjectPal for your family: preparing lessons from your books, tutoring, showing progress, applying plan limits, and sending emails you need (password reset), asked for (the guide, the waitlist), or that help you get started with your account (a welcome email and a few short tips — each has a link to stop them). We don't sell data, show ads, or use advertising or tracking cookies.
Who helps us run it
- Hetzner hosts our server and database.
- AI services read book pages and lesson text to prepare lessons and reply to your child: currently models reached through OpenRouter, and OpenAI for the tutor's voice and for turning speech into text. When the browser's own speech service is used instead, your browser's provider handles it.
- Resend delivers our emails.
They receive only what is needed for their part of the work. Please don't write personal details (such as full names or addresses) into answers to the tutor.
Cookies and storage on your device
We use one cookie, to keep you logged in (for up to 7 days). Your browser also keeps some settings and lesson data on your device so the app works smoothly. There are no analytics or advertising cookies. We count how often our public pages are viewed — just one number per page per day, without cookies or anything that identifies you.
How long we keep it
Your family's data stays while the account exists. When you delete a book in the app, its lessons and pages are removed at once and the PDF file within about a week. Your child's learning history stays until you delete the account. Guide emails stop as soon as you unsubscribe (every email has a link). Our server keeps short technical logs, such as errors, for a limited time to keep the service working.
Your choices
You can see your children's progress in the Parent area, download a backup in Settings, and delete books. You can delete your whole account in Settings → Your account: you're logged out at once, and every child's profile, book, PDF file, lesson, answer and history, and your email address, are removed within 7 days. To get a copy of your data or correct it, write to info@subjectpal.com from the email address of your account. We'll reply within 30 days. If you live in the EU or UK, you may also complain to your data protection authority.
Copyright of books
Only upload books you are allowed to use, for example ones you bought for your child. Your books are private to your account and are never shown to other families.
